> Your Role
As your school’s contact, you are responsible for gathering the unfinished elements for your presentation/profile and providing them to us. Your materials may consist of photos, graphics, audio clips, video clips, and text. We recommend that you pull together a team of people at your school to help you. Choose people who are familiar with your available resources and the message you want to get to your prospective students. Make sure that everyone on your team is aware of the deadlines for submitting your materials and approving your proof. Report any potential problems with these deadlines to your client development account manager.
> Your Hobsons Publishing Team
You will be assigned a publishing team that specializes in your recruitment needs, whether your focus is domestic, international, or graduate recruiting.
Client Development Account Managers—the client development account managers will be your primary contact throughout the campaign, providing you with timely updates to monitor the effectiveness of your campaign. They will consult with you on your recruiting message to ensure that you are meeting your recruiting goals. In addition, they will collect all of your materials—including text, photos, audio, and video. They will send you your proofs and secure your approvals. They will make an effort to keep everything on schedule. If you have any questions regarding the progress or status of your project, you should call your client development account manager.
Designers—The designers create your presentation/profile with the materials you submit. They make recommendations on design, color, and placement. They work closely with the client development account managers to make sure they are designing your project according to your specifications. If you do not have design services available on your campus, we can provide professional design services on a contractual basis.
Editors—The editors proofread your entire presentation/profile and make all typographical and grammatical corrections or suggestions (Hobsons uses The Chicago Manual of Style as its editorial guide). They work closely with the designers and our quality assurance (QA) department to make sure everything is accurate and error free. If you do not have writing services available on your campus, we can provide professional writing services on a contractual basis.
Multimedia Developers—The multimedia developers author your CD, DVD, and Web presentations and provide a variety of audio and video services. They are also available to consult with you and your staff on all content-related topics from concept to production.
> Production Timeline
Your client development account manager will send you a production timeline that lists all of the important milestones in the production process. Please note that the deadlines that are your responsibility are materials submissions and all approval deadlines. Successful completion and publication of your presentation or profile depends on these two deadlines.
Materials Deadline—We need to have your completed materials by this date. It is very important to meet the materials deadline date. Missing this date could result in your product not delivering on time and the incurring of additional fees. Please make sure that the materials are complete and pre-approved by all the people involved at your school.
Final Proof— Our editorial staff will review your presentation/profile before we send you the final proof. We ask that you double check each proof to be sure that all of your requested changes have been made. Contact your client development account manager right away if you find any errors or corrections that need to be made.
Approval Deadline—It’s important that we receive your final approval by this date. You can fax or e-mail the approval forms that you received with your proof to your client development account manager.
Quality Assurance Submission—If you have a multimedia or Web presentation it will go through a thorough functionality testing process called Quality Assurance.
Quality Assurance Approval—By this date your presentation will be ready for publication. If you have ordered CD-ROMs, the replication process takes an additional four to six weeks.
Hobsons requires a standard amount of time to update/create a product. The timeline may be adjusted contingent upon materials submission.
